Charging fuel costs to your clients or hauliers is a common practic.
In Transpas there are 3 screens important:
Main files -> Transport -> Fuel prices
Main files -> Transport -> Fuel surcharge -> Fuelsurcharge groups
Main files -> Transport -> Fuel surcharge -> Fuelsurcharge rulesets
In the screen fuelsurcharge group you’ll add the formula to calculate the agreed fuel charge percentage.
The fuel surcharge can be calculated as:
In the screenshot above you see an example of how the fuel charge has been calculated based on a basic price of € 1,00. The fluctuation value is set on € 0,05. This means that if these prices increases or decreases with € 0,05 cents the fuel charge will change with 1%.
In the screen ‘fuel prices’ the actual fuel prices will be added per period which is fixed per fuelsurcharge group. Based on this setting all of the fuelsurcharge groups will be updated with the new price and percentages. These fuel prices percentages will be immediately active when you create a new order within this period.
In this screen you can make a ruleset for you customer or a group of customers. Based on one or more conditions you can set up which fuelsurcharge group that needs to be used for your customer.
The fuelgroup ruleset can be joined to the customer/debtor in the screen Financial relations:
In the tabsheet Transport you can set a fuelsurcharge ruleset or a fuelsurcharge group.
When one fuelsurcharge group is mostly used for all customers it is better to add the fuelgroup ruleset on company level. All the exception can be set per customer on financial relations level.
You can also create a fuelsurcharge group ‘None’ (and leave this empty) which can be added to a customer when no fuelsurcharge should be charged to them.
